The whole calendar

20+ sports. 4 academic terms.
One archive.

A large athletic department runs 20-plus sports across the academic year. A mid-size department runs a leaner slate. A smaller program runs varsity teams alongside dozens of club sports. The headcount of people pulling on the photo archive is the same across all of them: comms, marketing, recruiting, development, social, NIL coordinators, and freelancers who cover when staff can't.

Per-sport licensed platforms charge for each program you add. Per-seat platforms charge for each user. We don't do either.

The largest department runs the same product as the smallest. The bill is sized for the storage, not the institution.

Whichever day. Whichever sport.

Football Saturday. Volleyball Tuesday.

The whole calendar runs through one archive. Search by athlete across all of it.

Saturday
Football. 1,500 photos.
Wire push to AP and Getty by halftime. Athletic comms grabs named files. Your social team has named hero shots before the postgame.
Tuesday
Volleyball. 600 photos.
Quick turnaround for parents and recruits. Named gallery up by the next morning. Search for any player across the season.
Sunday
Track invitational. 2,000 photos.
Hundreds of athletes from four schools. Roster matching across all of them. The right name on the right photo, automatically.
November
Hall of fame induction.
Donor portraits. Coaches over decades. Pull names from rosters. Tagged once, findable for the next development director.

NIL distribution

Your athletes. Your portal. Their photos.

AthleteID is a branded athlete portal that runs on your domain. Athletes see their own photos, with names already in the file, in your department's look and feel.

Push named galleries to each athlete on the roster. Athletes log in, view what's tagged of them across the season, and download with names already embedded. They share to NIL deals with your branding intact.

Permissions stay yours. Your athletic department controls what an athlete can see, which sports they belong to, and when access begins and ends. Add NIL coordinators as users to manage the program centrally.

AthleteID is included with paid plans. No per-athlete charge, no per-portal license.

Access control

Role-based. Folder-level. Audited.

Compliance with NCAA rules around photo distribution and athlete likeness is yours to own. The architecture is built to make it easier.

Five built-in roles. A volleyball coach sees volleyball folders. A football photographer uploads to football. Comms director sees the whole department. You set it once when you create the folder.

Each action logs to an audit trail with user, timestamp, resource, and result. Easy to answer a compliance question after the fact. No global headshot index, no cross-client data sharing.

Common questions

From college athletic departments.

How does pricing work for a multi-sport program?

Storage-based. Starts at $160/mo for 2 TB. Scale up as the archive grows. Unlimited MatchID, unlimited photographers, unlimited sports — included. Volume pricing kicks in at 5 TB for larger department archives. Reach out for a quote.

Can we manage rosters across conferences?

Yes. Multiple roster databases per client. Your department's headshots plus conference-level imports. When a conference photographer covers a game between two of your league teams, both rosters match.

How does NIL distribution work?

AthleteID is the dedicated athlete portal. Your department creates AthleteID accounts for the roster and pushes galleries to each athlete. Athletes log in, view their named photos, comment on individuals, and download with names already embedded. Your athletic department branding wraps the experience.

Is the platform NCAA compliant?

GalleryID is a photo management platform. Compliance with NCAA rules around photo distribution and athlete likeness is your department's responsibility, but role-based access, audit log, and per-athlete gallery scoping are designed to make that easier.

Do you store our athletes' photos or train on them?

No. You own the data. GalleryID is the processor, not the owner. There's no global headshot database and we don't train models across client data. Your reference library lives in your account and benefits only you.

How do we onboard during the academic year?

The 14-day trial lets you pilot with one sport before committing. Mid-season onboarding is fine — start with the next sport's calendar and backfill the rest as time allows.
