For Colleges & Universities
MatchID puts a name on every face. Athletics came first. The same searchable archive works for marketing, departments, development, admissions, and student life.
Beyond athletics
GalleryID started as a sports tool: match the roster to the game photos, put the athlete's name in the file, deliver by halftime. Athletic departments run their whole sport slate on it.
But the same problem lives all over campus. Marketing keeps a drive full of event photos nobody can search. Development has a decade of gala coverage and no fast way to find one donor in it. Commencement produces thousands of photos a year, findable only by date.
The engine doesn't know it's a sports tool. It matches faces against a list. Any list.
One archive, every office
20+ sports on one archive. Wire delivery by halftime, roster matching across seasons, and AthleteID portals for NIL distribution.
Stop scrubbing folders for the right face. Search a name — president, dean, featured faculty — and every usable shot across every event comes back.
Galas, groundbreakings, reunions, hall of fame nights. Match against your donor list once and the next development director inherits a searchable archive instead of a mystery drive.
Find every shot of a student ambassador or tour guide instantly. Build view-only galleries for the team that needs them — nothing they should not see.
Homecoming, orientation, club fairs. Named galleries students can actually find themselves in — delivered from the same archive comms already uses.
Engineering, business, medicine, law — the individual schools within a university each run their own faculty, events, and student photos through the shared archive, while central marketing still searches across all of them.
The campus calendar
The whole year runs through one archive. Search by person across all of it.
NIL distribution
AthleteID is a branded athlete portal that runs on your domain. Athletes see their own photos, with names already in the file, in your department's look and feel.
Push named galleries to each athlete on the roster. Athletes log in, view what's tagged of them across the season, and download with names already embedded. They share to NIL deals with your branding intact.
Permissions stay yours. Your athletic department controls what an athlete can see, which sports they belong to, and when access begins and ends. Add NIL coordinators as users to manage the program centrally.
AthleteID is included with paid plans. No per-athlete charge, no per-portal license.
How it generalizes
Import the list with headshots. MatchID does the rest. Each name is written into the file itself (XMP/IPTC PersonInImage), so the archive stays searchable even outside the platform.
What we don't charge for
Access control
Five built-in roles, set at the folder level. Athletics runs its sports folders. Development's donor event files stay with development. Admissions sees admissions. The comms director sees campus-wide.
Each action logs to an audit trail — user, timestamp, resource, result. When a privacy or records question comes up, the answer is a lookup, not an investigation. No global headshot index, no cross-client data sharing, no model training on your photos.
Institution pricing
Starts at $10/mo for 100 GB. No per-department, per-seat, or per-feature fees — same features at every tier. Storage is the only line item.
Every feature is included at both tiers — the only difference is the price per GB. AthleteID, white-label galleries, custom domain, FTP & PhotoShelter delivery, and the audit log come standard.
Every department. One archive.
Common questions
Yes. MatchID matches faces against any list of people with headshots — a team roster, a faculty directory, a donor list, a cast list. Jersey OCR is a sports bonus; face matching is the core, and it works the same at a gala as it does on a sideline.
One institutional bill, sized by storage. Standard starts at $10/mo for 100 GB and scales to 1.5 TB; most full-institution archives land in Volume (2 TB+, from $160/mo). Unlimited users, MatchID, and rosters are included at every tier, no matter how many departments join.
Yes. Folder-level permissions with five built-in roles. Each department manages its own folders, uploads, and galleries. Campus-wide roles (like the comms director) can see across departments; everyone else sees only what they are granted.
AthleteID is the dedicated athlete portal. Your athletic department creates AthleteID accounts for the roster and pushes galleries to each athlete. Athletes log in, view their named photos, comment on individuals, and download with names already embedded. Your department branding wraps the experience.
GalleryID is a photo management platform — compliance with your institution’s privacy policies, records rules, and NCAA likeness rules stays your responsibility. Role-based access, per-folder scoping, and the audit log are designed to make that easier to manage and demonstrate.
You own the data. GalleryID is the processor, not the owner. There is no global headshot database and no model training across client data. Your reference libraries live in your account and benefit only you.
One department. Athletics or commencement is the natural pilot — prove the search works, then add offices from there. The 14-day trial covers the pilot.
